A shift is one stretch of work at the kiosk, from clocking in to clocking out.
Open Shifts
Open Payroll Time › Kiosks and press Shifts.
Project/Time Managers open Shifts in the Manager menu. They can fix and approve everyone's shifts except their own, which wait for an owner or accountant.
Shifts shows one week, day by day, in Trinidad time. Press Previous week or Next week to move between weeks, and This week to come back.
Each shift shows In, Out, Break, Worked and Status:
- "Clocked in" or "On a break": the person is still at work.
- "Didn't clock out": nobody clocked them out. The shift isn't paid until you add the time they left.
- "Waiting for approval": finished, on a kiosk that asks for approval first.
- "Approved": its hours go to payroll.
- "Corrected": someone changed the times. Point at a dotted time, or tap it, to see who changed it, when, and their note.
If you've set schedules, shifts also show flags such as "Late 12 min" and "Left 20 min early". People who were due in but didn't come show "Didn't clock in".
Show only the issues
Press Only issues. The list then keeps:
- late starts and early finishes;
- missed clock-outs;
- shifts waiting for approval;
- people still clocked in or on a break;
- people who didn't clock in.
Press All shifts to see everything again.
Fix a missed clock-out
A shift still open 16 hours after clocking in becomes "Didn't clock out". These shifts wait at the top of the page, under Needs a look.
- Ask the person what time they left.
- Check Clock in, and type the date and time they left in Clock out.
- Type any break in Break (minutes).
- Type what happened in Note (optional), such as "forgot to clock out, left at 4:30".
- Press Save and approve.
The shift now shows "Corrected", and its hours go to payroll.
Approve waiting shifts
If you pressed Require approval first on a kiosk's card, its finished shifts wait under Needs a look.
- To approve them all, press Approve all 6 waiting.
- To change one first, press Correct the times under it, fix the times and press Save and approve.
Check the hours going to payroll
Hours going to payroll this week shows each person's Regular, Overtime and Total hours. Only finished, approved shifts count.
- Breaks aren't paid.
- Overtime counts only for people with Pay overtime ticked on their page. For them, hours past the daily limit are overtime. Their page shows the limit under Pay overtime, for example "Hours past 8 a day".
For hourly staff, the pay run that covers those days pays these hours. A pay run is one payroll for one period.
Good to know
- Check shifts before you create the pay run. If you change a shift after that, press Compute on the run before you approve it.
- Each evening, owners, accountants and Project/Time Managers get an email listing anyone still clocked in and any shift missing a clock-out time. Where people have schedules, it also lists today's late starts and anyone who didn't clock in. Press Open Shifts in the email to go straight to the week. Owners can change its time or turn it off under Evening email on Kiosks.
